No. You only need a phone number to sign up. If you’re joining under a business account, your company admin will invite you and link your number to the dashboard.

Yes. Team members can download the app individually, or admins can bulk-invite users through the business account dashboard.
Absolutely. All calls and transcripts are processed securely, and we only store what's needed to deliver tasks and insights (not recordings). You stay in control of your data.

On Consent:
Hardline helps construction teams capture key details from conversations by transcribing and summarizing phone calls and meetings. Because communication laws vary across jurisdictions, it’s important that participants are informed and consent to the use of AI-based transcription where required.
In the United States, some states follow “one-party consent” laws (only one participant must be aware that transcription is taking place), while others require “all-party consent” (every participant must be informed).

Ultimately, you are responsible for obtaining consent from participants where required by law. Regardless of jurisdiction, Hardline strongly recommends that users always disclose when a call is being transcribed or summarized to ensure transparency and trust among clients, subcontractors, and team members.
On Privacy:
To protect user privacy and comply with evolving data protection standards, Hardline follows a strict data minimization policy:
Temporary Processing Only: Audio data is processed within seconds after a phone call only for the purpose of generating summaries.
Automatic Deletion: Once a call has been successfully transcribed and summarized, the temporary audio file is securely discarded. No raw call data is retained by Hardline personnel.
Encrypted Workflows: All data in transit and at rest is encrypted using industry-standard protocols (TLS 1.2+ / AES-256).
Customer Ownership: Transcripts and summaries remain the property of the customer. Hardline does not use customer audio for model training, analytics, or third-party sharing without explicit, written consent.
This approach ensures that Hardline delivers the operational benefits of AI-driven transcription and documentation — while maintaining the highest possible standard of privacy, security, and regulatory compliance across every interaction.
